Sensitivity Labels Now Enforced in Power BI Exports to Excel and PDF

Microsoft is extending sensitivity label enforcement to Power BI exports. When a report or dataset has a sensitivity label applied, that label will now automatically carry over to exported Excel and PDF files.

Microsoft is rolling out automatic sensitivity label inheritance for Power BI exports. When users export a labeled Power BI report or dataset to Excel or PDF, the sensitivity label will now be applied to the exported file automatically — ensuring data protection policies follow the data out of Power BI.

Rolling out to all tenants with Microsoft Purview Information Protection configured.

What This Means for Your Tenant

  • Automatic Label Inheritance on Export
  • Applies to Excel and PDF Exports
  • No End-User Action Required

Admins should review their sensitivity label policies in the Microsoft Purview compliance portal to ensure export behavior aligns with their data governance requirements.

Our Take

This is the right call, but Microsoft is underselling how disruptive it'll be. Users have built years of muscle memory around that Chat / Teams split — expect a wave of support tickets the week it lands. Get ahead of it with a quick communication to your users before it shows up, not after.

Bottom Line
Good change, bad rollout timing for unprepared orgs. Send a user comm now.
